Job Description

Are you looking for:

* Flexible hours,
* 100% remote work,
* An opportunity to make a huge impact at a growing startup?

Would you be great at:

* Managing teams of accountants,
* Building relationships with employees and clients,
* Improving processes,
* Training and coaching?

If so, this opportunity is for you!

**Who We Are:**
BooksTime is an ambitious, innovative accounting and bookkeeping startup
founded in 2016 with operations in 4 countries. For more information, check
out our website: bookstime.com.

**Why We’re Hiring:**
In short: we’re growing fast.
BooksTime needs to expand a remote, US-based team of senior-level accountants
who serve as Onboarding Specialists. We’re looking for someone who can help
build and manage this incredibly important team.
The Onboarding Specialists will supervise the set-up of services for new
clients, coordinating with the international bookkeeping teams who do most of
the ongoing work. The Onboarding Specialists are typically Controller or CFO-
level professionals. They help manage client communication, and serve as
expert advisors and reviewers for the bookkeepers.

**What You 'll Do:**
You’ll start out by doing the Onboarding Specialist job yourself for a little
while, which includes:

_Setting up services for new clients:_ Talk with them, understand their needs,
and coordinate a team of international bookkeepers to get services up and
running. Your role is to be a high-level accounting resource to the
bookkeepers, help manage communication with the client (including managing
their expectations), and generally build a personal relationship with the
client.

_Supervise ongoing services:_ After the set-up is done, you’ll supervise and
support the bookkeepers as needed for the same clients.

As soon as you’ve learned the ropes, we’d be looking for you to step into a
management role. You’ll (with help) interview, select, train and manage a team
of approx. 5-10 Onboarding Specialists. You’ll be responsible for all ordinary
management functions, with especial emphasis on:

* Training and coaching
* Process improvement
* Helping Onboarding Specialists when they run into challenges. A few examples:

\-- If a client is being difficult and making unreasonable demands, and the OS
isn’t comfortable addressing it on their own.

\-- If a newer OS is still learning the ropes and needs a co-pilot while
leading an onboarding call with a new client.

\-- If an OS needs advice about how to handle an especially complex project.

**We 're Looking for Someone Who Is:**

( _Note: for less experienced candidates and those not interested in
management, a non-management version of this role is also available. You can
see all available openings at bookstime.com/careers. Feel free to contact us
for details.)_

* **Ambitious and entrepreneurial.** We have big goals at BooksTime. We’re looking for someone who will be excited to help us reach them.
* **Great at building strong relationships.** A key part of the role is to establish a personal rapport with your team, to get to know them very well, and to earn their trust. Likewise, you also need to be able to connect effectively with clients. This all takes a friendly, positive “people person”.
* **Experienced.** Our ideal candidate has either held in-house accounting leadership roles (such as CFO, VP of Finance, or Controller) or high-level positions in accounting firms. Management experience is required. Experience must include work in US-based companies.
* **Knowledgeable.** A Masters degree or CPA license are preferred but not required.
* **Highly organized.** Every Onboarding Specialist essentially performs a high-speed juggling act, as they handle multiple clients with different services and personalities, and coordinate the work of a diverse team of bookkeepers. It’s a role that requires exceptional organizational and time management skills – both for the SAs and the person managing them.
* **Tech-savvy.** We’re a technology-forward firm. You will need to be comfortable figuring out new systems and tools. QuickBooks experience is strongly preferred (either Online or Desktop). Experience with other accounting software, such as Xero or NetSuite, is not required but would be helpful. Spreadsheet skills will come in handy.
* **Comfortable with ambiguity.** We need someone who feels very comfortable in situations where there’s no easy way to look up the right answer. Someone who’s happy to dive in and figure things out, who can come up with ideas for new processes and implement them, and who can add structure where it may be missing. If you are happiest just maintaining a well-defined process that someone else established long ago, this is NOT the ideal role for you. If you love looking for creative solutions to new problems all the time, you could be a perfect fit!

**Why Join BooksTime:**

* **Friendly and Supportive Work Environment.** We may be biased, but we think our team is the best! We promote a healthy work/life balance and everyone on the team is friendly, supportive and always willing to lend a helping hand. Internal, anonymous surveys are sent frequently, and the results are consistently extremely positive. People love working here!
* **Make History.** We have big plans to disrupt the accounting and bookkeeping industry – and we’re off to a great start.
* **Work That Matters.** You will have the opportunity to make a huge impact on the Onboarding Specialists you manage, as well as the success of our clients and of BooksTime overall.
* **Flexible Hours.** Part time and full time options available. Either way, most of your hours can be very flexible. (We just need a certain amount of availability during business hours, including at least some hours between approx. 9-11am Eastern on at least 3 weekdays. More details below.)
* **Growth Opportunities.** BooksTime is expanding and we will need more people in management roles very soon. It’s likely that someone in this role could be promoted in a number of months, based on interest and ability.
* **Constant Improvement.** One of our core values at BooksTime is Constant Improvement. We’re always pushing to do better, from thinking of new ways to "wow" our clients to discovering opportunities to make internal processes more efficient. Our goal is to become the #1 bookkeeping firm in the country -- and our relentless focus on Constant Improvement is what will get us there. We can't wait to hear your ideas about how we can do better. If you're looking for a role that gives you unlimited opportunities to make an impact -- you've found it!

**Other Details:**

_Full-Time/Part-Time:_ Both options available. Full-time preferred. For part-
time, a minimum of 30 hours/week is required.

_Flexible Hours:_ Your clients are all over the US. Some of your colleagues
work in European time zones. To ensure overlap with clients and colleagues,
you should at least be available approx. 9-11am Eastern on at least 3
weekdays. The rest of your hours can be more flexible.

_Note for candidates outside the US:_ International candidates are welcome,
but significant relevant experience working in the US is strictly required.

_Starting Salary:_ Negotiable. Likely to start around $75k-85k initially, with
room for growth, especially when you take on the full management role, plus
bonus opportunities.

_Benefits include:_

* Health (QSEHRA reimbursement plan)
* Retirement
* Paid time off
* Tech reimbursements (Depending on part-time/full-time status and other factors, there may be eligibility restrictions in some cases.)

IMPORTANT: For your application to be considered, you MUST submit a cover
letter and resume. Please provide a cover letter that answers the following 2
questions: (1) What would your ideal job look like? (2) What do you think will
be most challenging about this role based on the description?
